Booking & Payment Policies
How far in advance should I reserve transportation or valet services?
- We recommend reserving as soon as your event date is established.
- Our calendar fills quickly, and availability cannot be guaranteed until a deposit is placed.
What are your payment and deposit terms?
- Standard Terms: A 50% non-refundable retainer deposit is required to secure your reservation, along with a credit card kept on file. The remaining balance is due 14 days prior to your service date.
- Short-Notice Bookings: If you reserve within 6 weeks of your event date, payment is required in full at the time of booking.
- Payment Methods: We accept credit cards (subject to a 3% processing fee), checks, ACH transfers, and Purchase Orders (POs) for corporate accounts.
- Custom & Master Agreements: While these represent our standard operating procedures, we recognize that large-scale corporate events or unique client needs may require flexibility. Custom payment schedules or modified terms can be accommodated under a separate Terms & Conditions agreement; any exceptions require direct consultation with our team and must be formally approved in writing by both parties.
What is your cancellation policy?
- The initial reservation retainer is non-refundable.
- Cancellations made within 14 days prior to the scheduled service date are subject to a 100% cancellation fee.
Can I adjust my vehicle selection if my needs change?
- Adjustments can be made based on fleet availability.
- We request that vehicle changes be submitted at least one month in advance whenever possible.
On-Board Experience & Guidelines
Can we consume alcohol inside the vehicle?
- Yes, alcohol consumption is permitted on board.
- State regulations require clients to purchase a Washington State Banquet Permit (approx. $11 via the WA LCB website) and present it signed to the chauffeur prior to departure.
Do you offer traditional stretch limousines?
- Butler Seattle does not offer traditional stretch limousines.
- We offer modern luxury alternatives, including the Mercedes Executive Sprinter (seating 9–15 passengers), Cadillac Escalade SUV, and Mercedes S-550 Sedan.
Do you provide child car seats?
- Yes, we offer infant/toddler car seats and booster seats for rent at $50 per seat.
Do you offer self-drive vehicle rentals?
- While Butler provides chauffeured services, self-drive rentals for standard 12–15 passenger Mercedes Sprinter vans are available through our partner, Seattle Sprinter Rentals.
Do you accommodate long-distance or overnight trips?
- Yes, we provide overnight trips across the Greater Seattle Area, out-of-state, and into Canada.
- Additional charges apply for chauffeur hotel accommodations and daily per diem.
Logistics & Day-of Service
When will I receive my chauffeur's contact information?
- Chauffeur details and contact information are typically dispatched 48 hours prior to your service date.
Do you provide directional signage for guests arriving at the venue?
- For valet, we place branded A-frame signage strategically to guide arriving vehicles.
- For transportation, we provide customized digital or physical signage (such as corporate logos or wedding couple names) for clear identification.
What is the dress code for valet attendants?
- Standard uniform consists of black slacks, black shoes, and a signature blue Butler Valet polo, with water-resistant white windbreakers for rain or night shifts.
- Formal attire (black slacks, white dress shirt, and bow tie) is available upon request for an additional dry-cleaning fee.
What additional event management services do you offer?
- In addition to transportation and valet, we provide coat check, event security, door security, parking management, and registration staffing.
Is Butler Seattle fully insured?
- Yes, Butler Seattle is fully insured and happy to provide a Certificate of Insurance (COI) upon request.
