Corporate Transport FAQ
What are your payment terms, and can you accommodate custom corporate agreements?
- Standard Terms: We require a 50% non-refundable retainer deposit at reservation, with the remaining balance due 14 days prior to your service date. Bookings placed within six weeks of service require payment in full.
- Custom Billing Agreements: If your organization requires a flexible payment schedule or terms outside our standard policy, our corporate sales team will work with you to draft and execute a customized agreement signed by both parties.
- Accepted Payment Methods: We accept ACH transfers, corporate checks, Purchase Orders (POs), and major credit cards (card processing carries a 3% fee).
- Card on File Requirement: A valid credit card is required on file for all bookings to cover incidental schedule extensions or additions, regardless of your primary payment method.
Can you provide a Certificate of Insurance (COI) for vendor compliance?
- Yes. Butler Seattle is fully commercially insured and will issue a custom COI naming your organization or venue as additionally insured upon request.
When do we receive chauffeur contact details and dispatch support?
- Chauffeur details and vehicle assignments are typically dispatched 48 hours prior to your service date. For large events or multi-vehicle shuttles, our 24/7 local dispatch team remains in direct contact with your primary event coordinator on the day of service.
What is the policy for fleet adjustments or cancellations?
- Vehicle Adjustments: Vehicle size or count changes can be made based on availability. We request at least 30 days' notice for major adjustments, though we accommodate closer requests whenever possible.
- Cancellations: Retainer deposits are non-refundable. Cancellations made within 14 days of the scheduled service date are subject to a 100% cancellation fee.
Do you offer on-site ground coordinators, customized signage, or valet integration?
- Yes. For multi-vehicle conferences or summits, we provide dedicated ground support staff, customized vehicle staging signage, airport greeters, and integrated valet or coat check services.
Are alcoholic beverages allowed on corporate shuttles or executive vans?
- Yes. Passengers may bring alcohol on board provided a Washington State Banquet Permit ($11) is purchased online through the WA LCB and signed for the chauffeur prior to departure.
